Business Operations Manager

The Business Operations Manager (BOM) is a vital member of the Firefly Partners team, responsible for maintaining many of our internal systems and performing bookkeeping, HR and other administrative duties.  As a virtual company, Firefly will rely heavily on the BOM to keep systems running smoothly, to be the main point of contact for all Firefly employees on all things related to the administrative side of the business.

Candidates must demonstrate fluency in Quickbooks Pro and be very capable in managing business office functions using a variety of online systems.  We would love to have someone with experience working for a virtual company and/or with professional services teams.   Successful candidates will be expected to quickly get up to speed on current business practices, transition work from our existing part-time bookkeeper and part-time admin, and even bring some other best practices in business operations with them to Firefly. 

We are looking for a person who possesses the ability to think on their feet and has the skills needed to work both independently and as a core part of a virtual team.  The BOM will report to the President and assist in the set up of our Boulder office.  


Primary job responsibilities include:

  • A/R and A/P duties in Quickbooks
  • Working seamlessly with our accountant and payroll company
  • Becoming fluent in our online time & project management system, Open Air, and become the go-to person for inquiries related to the tool
  • HR duties for Firefly
  • Keeping all paper and online files up to date
  • Office set up and maintenance
  • Act as primary point of contact for all Firefly staff for administrative needs
  • Other administrative or clerical duties as needed

Required Skills:

  • 3-5 years bookkeeping experience (preferably for a professional services firm
  • Demonstrated Mastery of Quickbooks (or similar accounting application)
  • Excellent oral, written communication and proofreading skills
  • Excellent interpersonal and telephone communications skills
  • Demonstrated organizational and time management skills
  • Dedicated, hardworking and loyal
  • Smart and quick on feet, willing to work extra hours if needed (occasionally)
  • Positive working attitude and ability to get along with others
  • Detail-oriented, task-oriented and ability to be flexible
  • Ability to think strategically and prioritize work assignments and competing deadlines
  • Can work independently with little supervision and as a team player
  • Excellent computer skills, including proficiency in Microsoft Word, Excel, Outlook, Access and PowerPoint
  • Ability to successfully work with a virtual team

Location:  Firefly is primarily a virtual company, with staff located across the country.  This position will be based in Boulder and one of the first assignments will be to set up the new office for our headquarters here in Boulder, Colorado.
